Job Description

***Temporary to Permanent Opportunity***
We are looking for a highly organised individual who has extensive diary management experience and preferably exposure to minute taking for Board meetings. This is an exciting and rewarding position where you will have the chance to work within a fantastic small team of Executive Assistants reporting directly to the Board Secretary.
Moving forward this will be a hybrid working position where you will work from the office approx. 2 days per week and the remaining 3 days will be working from home. Ideally you will be flexible with your office todays to enable you to be onsite when Board meetings are being held or to work collaboratively with your colleagues to support the CO and COO.
Job Summary
The Executive Assistant to the Chief Ombudsman (CO) and Chief Operating Officer (COO) is responsible for providing a high standard of administrative and managerial support to the CO and COO managing their day-to-day affairs, dealing with diary, email, and phone calls, drafting documents and attending meetings as appropriate, and enabling the CO and COO to manage their time and workload efficiently.
The key skills we are looking for are:
* Demonstrable experience in a similar role
* Experience of using Microsoft packages to a proficient level
* Must be able to communicate effectively, both verbally and in writing, to staff at all levels
* Excellent time management skills
* Able to write minutes and take key information to translate into actions
* Able to work as part of a team with minimum supervision
* Can see the bigger picture and effectively problem solve issues as they arrive
* Organised and methodical in your approach
* Adaptable and able to cope with changing priorities
* Self-starter, proactive and able to work on their initiative.
* Experience of working in public sector or NDBP
