Job Description

We have an exciting new job opportunity for an Executive Assistant (SC clearance required) to join one of our Government clients in Whitehall, London. The pay rate is £14.14 an hour, it will be a temporary assignment for approximately 10-11 months, until early November, Monday to Friday; hybrid working (some attendance in-office would be expected).
It would be preferable for the successful candidate to have a valid SC clearance certificate.
The key purpose of the role is to

Provide high quality, effective and proactive diary management for the Deputy Director and administrative support for the senior leadership team. Communicating and liaising with a wide range of internal and external stakeholders, agencies and representatives from other organisations, which could include senior officials and other high profile individuals.

Key responsibilities

" Support the Deputy Director by managing the diary, organising meetings and agendas and papers in a digitally focused way. Ensure that day-to-day business for the Deputy Director is well-organised and appropriately prioritised.
" Deal with conflicting requests for meetings and prioritise using own initiative, referring more complex issues to the Deputy Director as appropriate.
" Set up systems to track and monitor action points arising from meetings ensuring these are followed up and resolved using appropriate means of escalation.
" Manage and process all correspondence including email, responding when required on behalf of the Deputy Director.
" Provide administrative and business support to the Deputy Director, preparing documents including drafting correspondence, reports and presentations tailored to specific audiences and organising meeting rooms, equipment, travel & hotel booking etc.
" Be a key point of contact for any interaction with the Deputy Director, using judgement to prioritise items that require attention or action by the Deputy Director.

" Devise and maintain administrative and operational processes and systems including senior management team support including business continuity, maintaining Directorate-wide resources.
" Undertake specific project work and background research to inform development work and aid decision making.



The successful post-holder will be responsible for the following:

Providing executive support to Deputy Director
Initial review and assessment of Deputy Director`s Mail
Managing Deputy Director`s diary.
Arranging meetings, include programming them into MS-Teams and Zoom.
Acting as the secretary for the Client Senior Civil Service meeting
Managing and collating material for weekly and monthly reports.
Assisting the Business Manager in data collection in support of business plans and developments.

" Confident working with senior stakeholders
" Excellent oral & written communication skills allied with a commitment to providing prompt customer service.
" Demonstrates effective organisational skills, and the ability to prioritise work and meet deadlines whilst maintaining the highest standards of quality, including managing conflicting deadlines and priorities.
" Valid SC Clearance
