Job Description

A new opportunity has become available with one of our Clients that works for the Government. They need an Executive Officer for a temporary assignment for approximately 6 months, until the end of June; Monday - Friday; 09:00-17:00, Hybrid working (2-3 days in the office based in London). The pay rate will be £11.01/h for the first 12 weeks, after this period the pay rate will increase to £ 13.77/h.
This role provides the successful candidate an opportunity to work in the Health Safety and Wellbeing team. The Executive Officer will gain insight into how health, Safety and Wellbeing is carried out in the department and will be the first point of contact and will carry out a variety of tasks related to organization and communication. This includes ensuring that all administrative duties are delivered with high quality and in a timely manner. You'll assist the team to make the best use of their time by taking care of a variety of administrative tasks. Above all you are confident to connect with staff and partners at all levels and to you can effectively prioritise a fast paced and ever-changing workload.


Responsibilities
" Provide administrative support assistance, including on-going and forthcoming specific project work
" Maintain office systems, including data management and filing.
" Assist in collating and recording of data relating to work carried out by the team which will include maintaining and developing databases and electronic filing.
" Ensure accurate budget management for the team's work
" Assist in the preparation of reports, letter and document drafting and compiling meeting minutes.
" Prepare for quarterly meetings such as Health & Safety Committee, Wellbeing Champions and Partner Organisation meetings, including preparing the agenda minute-taking and circulation.
" Assist in completion of regular reviews of guidance documents and desk instructions
" Organise and maintain diaries and make appointments.
" Organise meetings and venues ensuring the manager is well prepared for meetings.
" Deal with incoming email, and often corresponding on behalf of the team.
" Collaborate closely with colleagues, other government departments and agencies and external suppliers in relation to the team's work programme.
" Arrange travel and accommodation for the Manager and Team. Travel to other offices may be required on occasion.

Skills and Experience the successful person must have

" Organised and able to multi-task whilst keeping calm under pressure.

" Demonstrate the flexibility needed to balance changing and competing team priorities, and plan effectively, whilst quickly adjusting plans where necessary.

" Ability to provide a high level of service, flagging any concerns and ensuring that relevant colleagues are updated on plans and any changes.

" Work at pace to manage a busy, reactive workload and use judgement to prioritise the team's time

" Personable and able to build strong relationships with the wider team. Communicate clearly and effectively, both verbally and in emails.

" Proficient in Microsoft Word, Teams, PowerPoint, Excel, and Outlook.

" Handle sensitive information with discretion and confidentiality.

" Proactive and good team player, who will collaborate effectively and in a positive manner with colleagues.
