Job Description
We have an exciting new job opportunity for a EO level Personal Assistant to join one of our Government clients in Petty France in Westminster. This is a full-time temporary role for an ongoing 12 months with a view to extend the contract further. 37 hours are worked from Monday through Friday to Friday on a flexible rota around office hours. Hybrid working; 3 days out of 5 in the office and 2 days working from home.
Provides the full range of executive personal assistant, administrative and secretarial support to the Head of Legal (and team when necessary.) including but not limited to:
" Diary management for suppliers - external and internal
" Looking after fiance and invoicing
" Drafting correspondence
" Meeting arrangements and event management.
" Provision of administrative duties, general office cover for telephones, hosting visitors.
" Develops comprehensive working procedures within the office, including establishing and maintaining office filing systems, recruitment, new starters, leavers and organising interviews.
" Produces minutes/a record of meetings as requested.
" communicates outcomes and ensures that follow up action is taken.
" Acts appropriately and independently as the situation requires with a wide range of internal and external stockholders, understands the confidential nature of the role. Builds relationships with other business areas through personal contacts and through gaining a reputation for high quality of work and deduplication. Works with the rest of the Directorate team to ensure effective delivery of work, including providing cross-cover support.
" Ensures that the Head of Legal is fully prepared for all activities undertaken in their day to day activities, including writing, commissioning, co-originant and quality assuring briefings as necessary.
" Prepares papers and presentations as directed. Liaison/co-ordination and monitoring of requests as they arise within and for the Directorate; priorities tasks/activities and interactions; pro-actively manages the Directors diary to reflect work priorities and key objectives
" Full Training will be provided

" Strong communication skills both verbally and written is essential
" Use and work on your own initiative
" Need to have good IT skills including proficiency using Microsoft Office Word, Excel, Teams etc. especially Excel
" Quick Learner
" Need to have experience using databases
" Admin experience required
