Job Description


One of our Clients that works for the Government is looking for a Personal Assistant/ Executive Secretary. The pay rate will be £15.53/h, length of contract is for 3 months, with the possibility to extend, hybrid working (2-3 days in the office, London/ Westminster).
They are looking for an enthusiastic self-starter to provide direct PA and administrative support to Deputy Director's within the company, which plays a central role in shaping the future of transport in the UK, leading agendas at the heart of the Government's objectives of reducing emissions, improving safety, and boosting the international standing and competitiveness of UK plc.
This role is perfect for a confident, dedicated, and enthusiastic self-starter who will thrive in a fast-paced and dynamic work environment, balancing competing demands and delivering to challenging timetables. You are exceptionally organised and demonstrate good judgement and time management to prioritise urgent requests and monitor the progress. You have a flexible working approach to accommodate an often-demanding environment with the ability to work quickly while remaining calm under pressure. Good communication skills are key to the roles and you will be responsible for two Deputy Directors and their team. As well as providing exposure to senior officials, meetings and decision-making processes, these roles provide opportunities to undertake formal training and to take on stretching projects and responsibilities.
Duties and responsibilities
" Providing diary support, managing, and prioritizing multiple demands on DD time, including engaging with high profile external stakeholders.
" Coordinating and setting up meetings, events and visits and providing logistical support, including planning, and booking travel.
" Handling and managing the flow of correspondence and ensuring that briefings and papers are provided for upcoming meetings.
" Contributing to the effective running of the Division and wider team.
" Management of the DD's inbox, answering emails and cascading requests on their behalf. Drafting letters, communications, and responses for the DDs to agree, comment and send out.
" Commissioning briefing for meetings and ensuring colleagues are aware of potential items for discussion.
" Managing and tracking the workflow of the Business Management team
" Administration duties that support the work of the business management team - this will include for example: arranging events; away days, co-ordinating commissions; developing and maintaining logs to track policies; staff related tasks such as assisting with recruitment, planning inductions, reward, and recognition, tracking joiners/movers/leavers etc.
" Management and support across corporate activities; covering tasks related to HR, IT, On-boarding, business and workforce planning and corporate work-streams.

The ideal candidate will have:

" Strong inter-personal skills with experience of building good working relationships across teams including with senior managers.
" Experience of organizing work both methodically and at pace, diligently forward planning and tracking ongoing tasking.
" Experience of managing several conflicting priorities to meet a tight deadline, including working flexibly and proactively.
" Experience of using and a confident user of Microsoft Office suite.
