Job Description

Personal Assistant
Monday to Friday 9-5
Hybrid working
£14.01 an hour
Temporary assignment until March 2023 with a possible extension


KEY TASKS -
Monitor the Team Leader's e-mails and diary and also to arrange and prepare for meetings for the Team Leader when necessary.
To circulate the agenda for monthly team meetings and to note and circulate any action points after to the team.

  • Distribute post which is delivered to the Team by the Post Room.
  • Use the Case Management System (CMS) to find the relevant case holder for unreferenced mail.
  • Prepare files to be opened (liaising with clients etc)
  • Produce client reports, when required
  • Draft straightforward holding letters/documents on the Team Leader's behalf
  • First point of contact for incoming instructions via fax, e-mail or post.
  • Promptly fill in the Case Allocation Form and immediately pass with the relevant papers about the new matter to Team Leader to read, allocate and return.
  • Keep up to date all staff in post information, including details of clearances and other relevant information. Maintaining organograms and team information generally and updating clients.
  • To complete all necessary paperwork for new joiners to the team to ensure a smooth transition into the team.
  • Routinely check that the Business Continuity Plan contains up-to-date details for the team. Where there are changes, the relevant extract needs to be provided to the relevant section leader
  • Assist Section Leaders in preparing any induction material required for new joiners.
  • Monitor the Team Leader's e-mails and diary and also to arrange and prepare for meetings for the Team Leader when necessary.
  • To circulate the agenda for monthly team meetings and to note and circulate any action points after to the team.
  • Visitors - informing Reception of any visitors and showing them to meeting room as necessary.
  • Telephone - answering queries from clients, colleagues and members of the public and referring to correct case holder as necessary.
  • Arrange travel, and when necessary, overnight accommodation, through Agency travel agents.


Experience required:
At least 1 year experience as a personal assistant, diary manager or executive assistant
