Research Student Officer

6 month contract - £26,341 to £30,497 pro/rata

Job Spec:

To provide excellent administration of the research student processes and procedures on behalf of the Graduate School

Creating a supportive and flexible research environment within the Graduate School the Research Student Officer will ensure a consistent and knowledgeable service, for a range of research students and academic staff involved with research student supervision

Responsibilities

1.To support the Head of the Graduate School and Research Student Manager to deliver high quarterlies student administration throughout the student lifecycle in line with the University's StrategicPlanning Framework and related research KPIs

2. To ensure compliance with the Academic Principles and Regulations, Code of Practice, Research Awards

2.10 (and any subsequent versions), associated internal research student and supervisorpolicies and external bodies such as Quality Assurance Agency (QAA), UK Visas and Immigration(UKVI), Foreign and Commonwealth Office (ATAS) and Criminal Records Bureau (CRB) whereappropriate

3.Provide suitable and high quality advice and guidance to prospective, existing research students andacademic colleagues and other colleagues as appropriate on the research student lifecycle andtypes of research awards, ensuring enquiries are appropriately signposted to relevant internal andexternal services

4.To work as an active team member in all aspects of research student administration, for example,annual progression meetings, open days (which may require work outside of regular working hours)and cover duties in the event of absence or fluctuating workloads

5.To maintain good customer service excellence and be an effective communicator, combined with anexcellent telephone manner and the aptitude for building strong internal and external workingrelationships

6.The postholder will be responsible for the following aspects of research student administration alongwith the collection and collation of management information relating to the specific role

6.1 Recruitment, Admissions and Enrolment: including the participation of a range of recruitmentand student related events, open days, induction events and marketing activities which may takeplace outside of regular working hours. Ensure admissions and enrolment processes are effectiveand managed within a timely manner

6.2 Data Management and Student Records: including updating and maintaining accurate recordsthroughout the research students lifecycle, resolve data quality issues in the University's centralsystems ie Banner and individual electronic files. Provide regular analysis and profiling of researchstudent data for management purposes as well as for internal and external returns such as HESAand Research Excellence Framework (REF)

6.3 Examinations and Awards: including the organisation and running of the administrative processes associated with examinations of research degree students, liaising and advising examination teams, examination preparations prior to and on the day and communicating outcomes. Manage the award and conferment process in a timely manner along with liaising with other university colleagues such as The Graduation team

6.4 Communications: including the overseeing of internal and external websites, reviewing of all communications sent to students and academics to include standard emails, offer letters, invitations for assessment, Research Student handbook. Build appropriate links with our marketing team and appropriate external agencies such as 'find a phd' and 'jobs.ac,uk' and other appropriate agencies

6.5 Progression and Review: including the overseeing of research student assessments such as Confirmation of Registration and Annual Progression as well as those specific to professional doctorates. Ensuring assessments are conducted in a timely manner and in line with the regulatory framework and that non-progression matters are handled appropriately

7. To work within the Graduate School work flow to ensure a seamless transition of students thof students throughthe various key milestones and assessments during the student lifecycle, for example from enrolmentthrough to Confirmation of Registration


8. To work with the Staff and Research Student Development Officers to ensure an effective andefficient service across research student administration


9. As a member of the research network, you will work across the University in identifying, sharing andimplementing good practice and ensuring consistency of approach


The activities, roles and responsibilities referred to above are indicative. Actual roles, responsibilities and activities, commensurate with the grade, will be determined from time to time with the appropriate line manager

Qualifications, Skills, Experience & Knowledge

  • A degree or appropriate experience
  • Experience of using a wide range of IT packages to a high standard,including the following:
  • Computerised spreadsheets (Microsoft Excel)
  • Word processing (Microsoft Word)
  • Maintaining online and database records, eg Banner
  • A good working knowledge and understanding of research studentprocesses, requirements and internally Research Regulations andof external agencies such as UKVI, QAA
  • Evidence of logical and analytical skills and attention to detail withthe ability to accurately maintain, prepare and present records data
  • Ability to understand, interpret, disseminate and work to a range ofestablished procedures
