Job Description
Job title: Administrator
Contract: 3 - 6 months with outlook to extend
Location: Hertfordshire
Pay: £11.53
Hours: 37.5 hrs per week, Mon-Fri
Job summary:
To provide comprehensive administration support to the Associate Director of Estates and Facilities and the Estates and Facilities Team, including but not restricted to; HR / staff administration (such as sickness, annual leave, training records etc.), diary management, the arranging and administration of meetings and acting as a point of contact for the team / estate`s office
Duties:
" To provide a comprehensive, professional and effective PA service to the Associate Director and to provide secretarial support to the remainder of the team adopting a high degree of confidentiality as required
" To be responsible for keeping up to date information such as site, telephone and equipment lists
" To undertake various types of project work and audits, interpreting gathered information into spreadsheets and reports with guidance from the team
" To manage and organise own time and workload efficiently and adhere to deadlines set by managers to enable the smooth running of the department
" To manage diary commitments electronically for the Associate Director of Estates and Facilities including regular meetings, visits, courses and staff appraisals to ensure the most efficient use of time
" Be responsible for all arrangements for future meetings including booking venues, refreshments and computer equipment as required
" Travel to venues across Hertfordshire to attend meetings and set up venues and equipment for meetings
" To prepare and draft agendas in preparation of appropriate meetings, to take detailed minutes of meetings as requested by managers, transcribe and distribute within a reasonable timescale
" Manage the Admin Apprentice ensuring day to day duties are carried out and 1:1 and PDP`s are carried out
" To be responsible for planning and organising Departmental Away Days, Team meetings, 1-1s etc. between the Associate Director of Estates and Facilities and senior managers
" Ensure that all Facilities staff have completed their mandatory training and that training records are kept up to date
" To be responsible for maintaining and updating paper and electronic confidential personnel files, training, holiday and sickness/absence records for the department and ensuring that appropriate forms are sent to Payroll / HR as required
